For projects outside our standard packages, all work is quoted based on the Vidsta rate card below. All pricing exclusive of GST. A 50% deposit is required on all bookings prior to shoot day.
Editing guide: As a general rule, editing time is approximately 2× shoot hours. Use this to estimate post-production costs when planning your budget.
Same shoot rates apply. Editing billed separately.
By proceeding with a booking, quote acceptance, or ongoing retainer agreement with Vidsta, the client confirms they have read and accept the following terms.
All bookings require a minimum of 24 hours' notice to ensure access to our preferred talent.
Bookings made with less than 7 days' notice may limit our ability to assign optimal crew. We will endeavour to place the best available talent, however we cannot guarantee our first-choice operators on short-notice requests.
Bookings made with less than 24 hours' notice will incur a $150 urgent sourcing fee. This fee covers the manual effort required to contact and confirm available crew at short notice. Availability is not guaranteed, and this fee is non-refundable regardless of outcome.
Cancellations are subject to the following fees:
These fees exist to protect crew members and third-party contractors who have reserved time and declined other work.
Deposits: A 50% deposit is required to confirm and secure any shoot booking. This payment is due upon receipt of invoice and is not subject to standard payment terms. The remaining balance is due upon delivery of the final approved cut, or within 7 days of final invoice - whichever occurs first.
Content Engine Retainer: The Content Engine package is billed on the 1st of each month, in advance. Where a client commences mid-month, a pro-rata invoice will be issued to align billing to the 1st of the following month. Retainer payments are due upon receipt.
Overdue Payments: If a Content Engine payment is not received and no communication has been made within 7 days of the due date, Vidsta reserves the right to pause services at its discretion.
Late Payments: Late payments may result in delays to delivery or the release of footage. Vidsta and any third-party contractors reserve the right to withhold deliverables until outstanding payments are settled.
Brief Requirement: A clear written brief - including deliverables and a target deadline - must be confirmed prior to any shoot. Even where no hard deadline exists, a preferred timeframe must be provided so Vidsta can prioritise accordingly. Vidsta's delivery timeline commences from the date a complete brief is received, not the shoot date.
Standard Turnaround: Editing is completed within 5-14 business days depending on scope. Real estate edits are targeted within 48 hours. Same-day delivery is available for a $400 priority fee, subject to availability.
Revisions: All project-based edits include two complimentary rounds of revisions (Version 1 and Version 2). Additional rounds beyond Version 2 will be charged at $200/hour + GST. To avoid unnecessary revision cycles, clients are asked to consolidate all feedback into a single, complete set of notes per round rather than sending individual or incremental comments.
Editing-Only Projects: For footage-supplied editing projects, work is charged at an hourly rate. Complimentary revision rounds do not apply - all editing time, including revisions, is billed at the agreed hourly rate.
Delays: Delays caused by incomplete briefs, late client approvals, or third-party dependencies are outside Vidsta's control and will not affect invoicing timelines.
All pricing is quoted against an agreed scope of work. Once accepted, this constitutes the confirmed project scope.
Any requests outside the agreed scope - including additional deliverables, locations, crew, or creative changes - will be quoted and charged separately at Vidsta's hourly rate.
Crew size and equipment are determined by the agreed brief. Additional production requirements outside of this will be quoted separately.
Local travel within 100km of the shoot city is included in quoted rates.
Travel beyond 100km may incur additional fees. Flights, accommodation, and associated travel costs will be quoted and charged separately where applicable.
Parking, permits, and costs associated with special venue access will be itemised and added to the final invoice.
The client is responsible for providing a clear brief, timely approvals, and appropriate access for the duration of the project.
Unless otherwise agreed in writing, the client is responsible for securing location permissions, talent releases, and any third-party approvals required for the shoot.
Please direct all communications through your assigned Vidsta producer. Vidsta is not responsible for any arrangements, disputes, or costs arising from direct client-contractor engagement outside the platform.
Final files are delivered via Frame.io, Google Drive, or Google Photos, as agreed.
Raw footage is available upon request. Where upload time is significant or physical drives are required, a fee may apply to cover time and materials.
Project files are stored for 12 months from delivery. After this period, Vidsta may permanently delete files. Clients requiring extended storage must notify Vidsta in writing prior to the 12-month mark.
Upon receipt of full payment, the client is granted usage rights for the agreed purpose (e.g. marketing, social media, website).
Extended usage - including broadcast, television, outdoor advertising, or billboards - may require additional licensing. Please discuss intended use prior to production if broader rights are anticipated.
Vidsta takes all reasonable care in the planning and execution of productions. However, we are not liable for circumstances beyond our control, including but not limited to: adverse weather, talent no-shows, location access issues, or technical failure.
In the event of unforeseen disruption, Vidsta will make every effort to reschedule or resolve the situation at no additional cost to the client.
